Rocky Mountain Birding Policies, Terms and Conditions

Booking and Refund Policy

All reservations with Rocky Mountain Birding require a deposit to secure your place on a tour. Deposits for tours are non-refundable unless the tour is cancelled. Once a deposit has been made your place on the tour will be confirmed in writing creating a contract between the registrant and Rocky Mountain Birding.

Payment

Our standard payment policy for our published prices requires an initial non-refundable deposit to reserve space, and payment of the balance in full a minimum of 15 days prior to the tour date. If we do not receive the balance on or before the due date, we will try to fill your spot from the waiting list. If your spot is filled, you will lose your deposit only.

Fees are based upon double occupancy and are always quoted in US dollars (USD). Single rooms may be provided upon request when available and will require a single-supplement fee. For participants traveling alone but wishing to share a room, we will make every effort to arrange for a suitable roommate. If a roommate is not available, the single supplement will be charged.

Generally speaking, international tour fees include: all lodging and meals as listed in the itinerary, refreshments/snacks while in the field, all transportation during the tour, entrance fees for parks and other areas, baggage handling, and the guide services of the tour guide(s). Unless indicated otherwise, our tour fees do not include transportation to and from tour departure points, passport and visa fees, airport taxes, alcoholic beverages, phone calls, laundry, or other items of a personal nature. Cancellations, Delays & Refunds

IF YOU CANCEL:

Refund of tour payment (not including deposit) will be made if cancellation is received up to 60 days before departure. Thereafter, all payments are not refundable.

At our discretion we may apply a deposit credit to be used within one (1) year of tour date. Please note that price increase adjustments may apply.

This policy only applies to payments made to Rocky Mountain Birding. Airline tickets or other travel arrangements you have made that are not included in the tour fee and purchased separately often carry penalties for cancellation or change or may be non-refundable. Additionally, if you take out trip insurance, the cost of the insurance is not refundable, so it is best to purchase the policy just prior to making full payment for the tour or at the time you purchase airline tickets, depending upon the airline’s restrictions.

There shall be NO REFUND for weather delay or cancellation because of weather before arrival or during the scheduled tour. Rocky Mountain Birding is not responsible for any additional costs that may be incurred by weather delays or cancellations due to weather, flight delays or otherwise.

To protect yourself against unforeseen scenarios that may arise for you, insurance is essential.

If you have any questions or do not understand this policy as it is written here, please ask us to explain in detail further. Otherwise, we are assuming that you understand fully the protocols described in this policy.

IF WE CANCEL

We reserve the right to cancel any tour for which there are insufficient reservations not less than 60 days before the departure date. In the event of any cancellation by Rocky Mountain Birding, all deposits and other payments made to Rocky Mountain Birding will be refunded in full.

Terms + Conditions

Once we have received your deposit, we will send you a confirmation invoice and registration package.

PRICE INCLUDES:

Local guide and driver

  • All entrance fees to natural areas visited

  • All accommodations, based on double occupancy

  • All meals inclusive of restaurant staff tips from breakfast on day 1 to departure day

  • All land transportation during tour (unless otherwise stated)

  • Bottled water for the duration of the tour

  • Airport pickup and departure (unless you elect to extend your trip on either end of the tour)

PRICE DOES NOT INCLUDE:

  • Airfare to place of tour origin

  • Any additional night’s accommodation outside of the tour dates

  • Additional tips for guides and others

  • Fees for passport, visas, immunizations and insurance

  • Bar bills at lodges

  • Laundry, phone and other items of a personal nature

  • Cost of hospitalization and evacuation if necessary

Payment Terms:

A non-refundable deposit is required to reserve a space on all tours. The balance of the payment is due no later than 15 days prior to the start of the tour.

PLEASE NOTE:

Rocky Mountain Birding strongly recommends that you purchase travel insurance.

All funds are quoted in US dollars (USD).

We will attempt to stay true to the published itinerary, however, certain unforeseeable conditions (political, climatic, environmental, cultural or wildlife migrations) may require changes to the itinerary. We reserve the right to alter any itinerary at any time if necessary. We will do our absolute best to notify participants of changes as far in advance as possible.
